KeikoDojo

Terms of service

Last updated 30 October 2026

KeikoDojo is a service of Koru Consulting Pty Ltd (ACN 616 945 996), based in Perth, Western Australia ("we", "us").

These terms apply to dojos (and the people who run them) who create a KeikoDojo account. By creating an account you agree to them. Members using a dojo's join page or their member page don't need an account; our privacy policy explains how their information is handled.

The service

KeikoDojo gives you a timetable and rolls, member records, memberships and payment tracking, gradings, a dojo page and related tools for running your dojo. We may improve, change or remove features over time. If we remove something you pay for, we'll tell you first.

You must be 18 or over and give accurate details. Keep your login secure; you're responsible for activity on your account.

Plans and prices

Free is free for as long as you use it, for up to 15 active members and 2 workshops, courses or seminars in any 12 months (each run counts), up to 20 places each. Club and Academy are paid plans for more members, billed monthly or yearly in advance. Every plan has every feature. Current prices are on our pricing page.

Prices are in the currency shown for your dojo's country (Australian dollars, pounds sterling or New Zealand dollars, and Australian dollars elsewhere) and include any GST or VAT we have to charge. No tax is added on top.

Paid plans renew automatically at the end of each billing period until you cancel. We'll give you at least 30 days' notice of any price change, and it applies from your next renewal.

Changing or cancelling your plan

  • Upgrades start once the payment for the rest of your current period goes through. If that payment fails, you stay on your current plan.
  • Downgrades take effect at the end of your billing period. You keep what you've paid for until then.
  • You can cancel at any time in Settings → Plan & billing → Manage billing. Your plan continues until the end of the period you've paid for, then moves to Free.
  • If a renewal payment fails, you keep your plan for 7 days while you update your card. After that, your account moves to Free until it's paid.
  • Moving to a lower plan never deletes anything. Features your new plan doesn't include switch off, and come back if you upgrade again.

Refunds

Yearly plans: if you change your mind, we'll refund the full amount when you ask within 14 days of paying. Otherwise, we don't refund part-used billing periods when you cancel or downgrade.

Nothing in these terms limits your rights under the Australian Consumer Law. If the service has a major failure, you may be entitled to a refund or other remedy.

To ask for a refund, email terms@keikodojo.com.

Your members and their information

You collect information from your members through KeikoDojo, and you decide what you ask and record. You're responsible for:

  • having a lawful basis to collect it and telling your members how you use it, including a parent or guardian for anyone under 18
  • the content of your waiver and policies, and whether they suit your teaching
  • keeping your records accurate, and passing on requests to see, correct or erase information (we'll help)
  • any pixel or tracking you add to your profile page, and telling your members about it

We handle your members' information as described in our privacy policy, only to provide the service to you.

Lesson payments and your teaching

Members pay you directly. KeikoDojo records payments but doesn't process or hold members' money, and isn't part of the arrangement between you and your members.

You're responsible for your teaching, including safety, supervision, insurance and any qualifications or checks your teaching requires (such as a Working with Children Check).

Countries, tax and your own obligations

KeikoDojo is set up for the countries listed on our pricing page, with wording, bank details and tax labels the way they're usually done there. Anywhere else, you choose Other country and fill in your own details.

KeikoDojo shows and prints what you enter, including your business name, tax registration and tax numbers. It doesn't check them, and it doesn't give tax, legal or accounting advice. Whether you need to register for tax, what you charge, and what your receipts and invoices must say are yours to decide and manage.

The details you give us for your own plan (your name, address, organisation type and tax number, and that you're buying for a dojo or club as a business) must be accurate. We rely on them to decide how to charge tax.

Fair use

Don't use the service to break the law, to send spam, to collect information you're not entitled to, or to interfere with the service or other users. We may suspend an account that does, and will tell you why unless the law prevents it.

Your content and ours

Your content (your dojo page, timetable, lesson plans, syllabus and records) stays yours. You let us store and display it to provide the service. The app, its design and its name are ours.

Our responsibility

We work to keep the service available and your data safe, but we can't promise it will always be uninterrupted or error-free.

To the extent the law allows, we're not liable for indirect or consequential loss (such as lost income), and our total liability to you is limited to the fees you've paid us in the 12 months before the claim. This doesn't affect any guarantee or right you have under the Australian Consumer Law that can't be excluded.

Closing your account

You can close your account at any time by cancelling any paid plan and emailing terms@keikodojo.com. Ask us first if you'd like a copy of your records. We may close an account that has seriously or repeatedly broken these terms, after giving notice where we reasonably can.

Changes and governing law

We may update these terms. We'll give you at least 30 days' notice by email of any change that affects you materially. If you don't agree, you can cancel before it takes effect.

These terms are governed by the law of Western Australia, and the courts of Western Australia have jurisdiction.
